HavenVault is operated by HavenLabs, based in Ogden, Utah. This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and what rights you have regarding your data. By using our website or submitting any form, you agree to the practices described here.

1. Information We Collect
We collect information you provide directly to us through our website forms. This includes:
Waitlist Form
- Name and email address — required to contact you about your spot on the list.
- City / location — required to confirm we serve your area (currently Utah only).
- Creator type — to understand your workflow (Photographer, Videographer, or Hybrid).
- Current storage setup and approximate archive size — to recommend the right package.
- Package interest — which HavenVault package you're considering (optional).
- Storage frustration — a free-text description of your current pain points (optional).
- How you heard about us — referral source (optional).
- Feature consent — whether you're open to being featured as a Founding HavenVault Creator (optional checkbox).
- Sharing interests — whether you'd be open to sharing your experience on social media or in other formats (optional checkboxes).
- Social / portfolio link — Instagram, YouTube, or portfolio URL (optional).
Get a Recommendation Form
- Name and email address — required.
- Phone number — optional, for follow-up coordination.
- Package interest — which package you're considering.
- Current storage method and library size — to tailor our recommendation (optional).
- Message — any additional context you'd like to share (optional).
- How you heard about us — referral source (optional).
Payment (Reserve Page)
When you complete a reservation, payment is processed by Stripe. We do not collect or store your credit card number, CVV, or billing details — those are handled entirely by Stripe. We receive a confirmation of payment from Stripe but not your raw card data.
Automatically Collected Information
Our hosting provider (Vercel) may collect standard server logs including your IP address, browser type, and pages visited. We do not currently use analytics tracking cookies. If we add analytics in the future, this policy will be updated and appropriate consent will be obtained where required.
2. How We Use Your Information
We use the information you provide to:
- Evaluate and respond to waitlist applications and consultation requests
- Contact you to schedule your free storage consultation and installation
- Send you confirmation and informational emails related to your inquiry
- Recommend the right HavenVault package for your needs
- Coordinate installation scheduling and follow-up
- Improve our products and services based on common needs and feedback
We do not sell your personal information. We do not use your information for automated decision-making or profiling. We do not send unsolicited marketing emails.
3. How We Share Your Information
We share your information only with the third-party service providers necessary to operate our business. Each provider is bound by their own privacy and security commitments:
- Notion — We use Notion as our internal customer database. Submitted form data is stored in a private Notion workspace accessible only to HavenVault staff. (Notion Privacy Policy)
- Resend — We use Resend to send transactional emails (confirmations, notifications). Your email address is passed to Resend solely to deliver messages you initiated by submitting a form. (Resend Privacy Policy)
- Stripe — Payment processing for reservations. Stripe handles all payment card data directly and is PCI-DSS compliant. (Stripe Privacy Policy)
- Vercel — Our website hosting provider. Standard server logs may include your IP address and request metadata. (Vercel Privacy Policy)
We do not share your information with any other third parties unless required by law.
4. Data Retention
We retain your information for as long as necessary to fulfill the purpose for which it was collected:
- Waitlist entries are retained until you request deletion or the waitlist program concludes.
- Lead and consultation records are retained for up to 3 years to support follow-up and service history.
- Payment records are retained as required by financial and tax regulations (typically 7 years).
You may request deletion of your data at any time (see Section 6).
5. Data Security
We take reasonable measures to protect your information, including:
- HTTPS encryption for all data in transit
- Access to customer data restricted to HavenVault staff only
- Admin systems protected by authentication
- Third-party providers selected for their security practices
No method of electronic transmission or storage is 100% secure. While we take this seriously, we cannot guarantee absolute security.
6. Your Rights and Choices
You have the right to:
- Access — request a copy of the personal information we hold about you.
- Correction — ask us to correct inaccurate information.
- Deletion — request that we delete your personal information.
- Opt-out — unsubscribe from any emails by replying to any message with "unsubscribe" or by contacting us directly.
To exercise any of these rights, email us at hello@havenvault.net with your name and request. We will respond within 30 days.
7. Children's Privacy
Our services are not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has submitted information to us, please contact us and we will delete it promptly.
8. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. For significant changes, we will make reasonable efforts to notify affected users by email.
